Federal Work-Study (FWS) Student Responsibilities and Rights Statement (SRRS)

Federal Work-Study (FWS) is a federal program which offers eligible students part-time opportunities to work up to twenty hours per week and earn aa pay check. Employment Opportunities are available both on-campus or with an approved off-campus Community Service Partner (CSP). Work-Study is a need-based form of financial aid and eligibility is determined by the information the student provides on their Free Application for Federal Student Aid (FASFA).

  1. The FWS award is not a grant and must be earned by working. You will only be paid for the actual hours worked. FWS students are not entitled to any unearned FWS monies.

  2. A FWS award does not guarantee job placement. It is each student’s responsibility to obtain employment.

  3. You may begin working once you have received an authorization email from the Student Finance Office. You will not be paid for any hours worked prior to the start date on the FWS Student Employment Authorization (SEA) Form. FWS awards do not rollover from one academic year to the next. If you do not earn your full award by the last eligible work day, the balance of the award expires.
  4. You cannot work during scheduled class time. A copy of your schedule is to be given to your supervisor for all terms (Summer, Fall, Winter and Spring).

  5. You must adhere to the Satisfactory Progress requirements (2.00 GPA for undergraduates, 3.00 GPA for graduates and 67% pace) in order to remain eligible to have a federal work study position. Information regarding SAP requirements can be found here.

  6.  You must submit all required new hire documents to the Office of Student Finance via email at FWS@nl.edu or fax at (847) 947-5868. All new hire required employment forms can be found here. All required documents must be submitted before you may begin working. 

    You will be notified of your federal work study funding allocation for the year. You may not work in excess of that funding amount unless approved by the FWS Coordinator. 

  7. You may work up to 20 hours per week. Student employees who work more than 5 but less than 7.5 hours in a given day are required to take one 15 minute paid break. Employees who work 7.5 or more hours in a given day are required to take two 15 minute paid breaks and one 30-minute unpaid meal break. The two 15 minute paid breaks may not be used to shorten the work day. With approval from a supervisor, the two 15-minute break periods may be added to the 30 minute meal break to yield a one hour meal break. Schedule changes must have prior approval by the supervisor.

  8. Once you begin working you will need to note your hours worked each day in the NLU portal online timesheet. You must work all the hours you submit on your timecard. Timesheets are submitted every two weeks for supervisor approval.

  9. You must review the Guidelines for Student Employees.

  10. You must adhere to the proper dress code. Information regarding the dress code is in the FWS Handbook.

  11. You must notify the Student Finance Office at FWS@nl.edu if you resign from your job or withdraw from one or more classes. If you are not enrolled at least half-time (6+ quarter hours for undergraduate students, 3+ semester hours for graduate students) you are ineligible to work. To remain eligible for federal aid, including your federal Work-Study award, you must be registered for a minimum of six hours as an undergraduate student and three hours as a graduate student.

  12. Contact the Student Finance Office if you would like to transfer to a new position.

  13. You must notify your supervisor if you need to change your work schedule due to class projects and/or exams. Your supervisor must approve your work schedule change.

  14. You must treat students information as "confidential". Examples of confidential information include, but are not limited to grades, class schedule, academic records and financial aid information.

  15. You must stop working immediately when your enrollment drops below half-time, you withdraw from classes, take a leave of absence or if you are dismissed by your supervisor or from the University.

  16. You may work during the Summer term without being registered during the Summer but you must be registered for the preceding Fall term.

  17. You must adhere to all University policies noted in the Student Guide Handbook which can be found here, the FWS Handbook and all policies and procedures listed on the Community’s website.

  18. You must avoid acquiring any information that is not necessary to perform your job duties.

  19. You must not disclose student information that you acquire while performing your job duties. Minor disclosures may be considered a FERPA violation. Review the University's FERPA policy here.

  20. If financial aid does not cover your tuition bill, you must complete a payment plan option and adhere to the payment agreement. You must pay your bill when it is due or pay according to the payment plan you have arranged.

  21. If you do not adhere to your agreed upon payment plan, the FWS monies you have earned may be withheld and applied to your outstanding tuition balance.

  22. You must act in a professional manner at all times.

  23. You must learn your job and complete all tasks and assignments.

  24. In additional to following all rules, policies and regulations for FWS program participants, please note that no children or visitors are allowed at any work site.

IMPORTANT NEWS FROM THE ILLNOIS STUDENT ASSISTANCE COMMISSION REGARDING THE IL MAP GRANT FOR FINANCIAL AID FOR UNDOCUMENTED STUDENTS:
On July 24, 2026, a federal district court ruled that undocumented students are no longer eligible to receive financial assistance from the Illinois Student Assistance Commission (ISAC) for the 2026-2027 school year. The court’s ruling is the result of the Trump Administration suing the State of Illinois to deny college access to undocumented students who have graduated from Illinois high schools. We know this court decision brings tremendous uncertainty and financial challenges for Illinois undocumented students. This is a developing situation as the state explores options and students and families should check back for updates from ISAC as they become available.
