Per the email you received from fws@nl.edu, please complete the Student Employment Authorization (SEA) form along with the needed student employment hiring paperwork below. You must do so before we can authorize you to begin working. Please note and adhere to the deadline indicated in your email.

Complete ALL forms in Section A & Section B

Section A Forms

- All six (6) forms must be printed and signed (wet signature). We cannot accept electronic signatures on these forms. Please forward completed forms to the student employment coordinator at fws@nl.edu.
  1. SEA form to be completed AND signed by student and supervisor on the student's first day of work. 
    The form is student-specific and sent to student's NLU email address.  Please locate the email from FWS to obtain the PDF attachment of the form.
    Students cannot sign electronically so please print and sign and return to supervisor for their signature.

  2.  I-9 Acceptable Documents To Bring To Campus (The I-9 form must be completed in person on your first day of work.) -

    a) Please bring original, unexpired identification to complete your I-9.  The I-9 form must be completed in person on your first day of work.  Please come to the Student Finance Office at the beginning of your first work day.

    b) Attached is the list of documents that can be used to complete the I-9 form. Per Federal regulations, the forms of I.D. must be examined by a Student Finance Representative or Facilities Representative. If unable to come to an NLU campus, please contact fws@nl.edu for options.

  3. 2026 Federal W4 Employee's Withholding Certificate-
    cannot sign electronically so please print and sign

  4. 2026 IL W-4 Form-
    cannot sign electronically so please print and sign

  5. NLU Direct Deposit Form-
    Forward form to fws@nl.edu along with a voided check, direct deposit form from bank OR letter from bank
    cannot sign electronically so please print and sign

  6. Conflicts of Interest & Confidentiality Statement & Policy (policy attached) -
    cannot sign electronically so please print and sign

Section B Forms

- All four (4) forms are completed online.

  4. Drug and Alcohol-Free Workplace Form

For your convenience, some of the documents are in fillable pdf format, and some are online forms. *Please note that the I-9 form needs to be completed in person. You can complete the I-9 in person at any one of our campuses. Please contact fws@nl.edu for options if unable to come to an NLU campus. Also please see the list of acceptable documents that can be used to complete the I-9 form (attached within the form above). Once we receive all completed documentation, we will process and let you know the date you can being working.

Schedule an appointment on any of our campuses to complete your I-9 form (must be completed in person).

IMPORTANT NEWS FROM THE ILLNOIS STUDENT ASSISTANCE COMMISSION REGARDING THE IL MAP GRANT FOR FINANCIAL AID FOR UNDOCUMENTED STUDENTS:
On July 24, 2026, a federal district court ruled that undocumented students are no longer eligible to receive financial assistance from the Illinois Student Assistance Commission (ISAC) for the 2026-2027 school year. The court’s ruling is the result of the Trump Administration suing the State of Illinois to deny college access to undocumented students who have graduated from Illinois high schools. We know this court decision brings tremendous uncertainty and financial challenges for Illinois undocumented students. This is a developing situation as the state explores options and students and families should check back for updates from ISAC as they become available.
